Social commerce operations
Set owners, change triggers and public-route checks so social product offers stay accurate from post to store.
Treat social commerce as an ongoing sales route. Assign owners for each product fact, each public placement correction and each pause of an inaccurate offer. A catalogue update alone does not establish what a shopper can see or buy.
Map the handovers
Marketing may prepare a post, merchandising may approve the offer and ecommerce may manage the shopping channel. Give each handover a decision owner and a deputy.
| Work | Decision to own | Handover record |
|---|---|---|
| Product offer | Which item, variant, inclusions and price are current? | Product identifier and approved offer |
| Availability | Can that version be ordered for the intended area? | Saleable variant and fulfilment condition |
| Social placement | Which post, tag or collection presents it? | Public placement and intended destination |
| Customer question | Who can verify a disputed fact? | Fact owner and response route |
One person can hold several roles; what matters is that the next person knows whom to contact and who can stop an uncertain claim.
Make role cover explicit when an owner is away or changes teams. Record the deputy and the escalation route for a disputed fact, so staff need not rely on the original post creator being available. Update the handover record when responsibility changes.
Who owns each handover
- Product offerOwner decides which item, variant, inclusions and price are current; the handover record is the product identifier and approved offer.
- AvailabilityOwner decides whether that version can be ordered for the intended area; the handover record is the saleable variant and fulfilment condition.
- Social placementOwner decides which post, tag or collection presents it; the handover record is the public placement and intended destination.
- Customer questionOwner can verify a disputed fact; the handover record is the fact owner and the response route.
Control changes across surfaces
Choose the source of each fact and record separate channel edits. When a price, pack, variant, promotion or product status changes, find the affected posts, tags, collections and destinations. Correct the owning record, then inspect the relevant customer views. Prioritise differences that change what a shopper expects to receive, pay or have delivered.
The controls depend on the integration. In Shopify’s Facebook and Instagram by Meta channel, products made available to the channel are available to its enabled features through a shared catalogue.
Shopify reports product status and publishing errors, but those administrative records do not establish the public result. Shopify collections for stores outside the United States do not sync to Facebook; an Australian retailer using Facebook collections through this integration must manage them separately in Commerce Manager.
If a material mismatch cannot be corrected promptly, pause the affected promotion or shopping action where the channel permits it. Record the item, affected placements, customer-facing problem, owner and next check. Give support staff the approved current answer.
Correct an old claim in a post as well as the store destination when both are affected.
Separate the decision to change an offer from the decision to leave its social placement live. The offer owner confirms the corrected fact; the placement owner identifies where it appears and confirms the action taken. If different teams hold those decisions, record both rather than assuming a change in one system settled the other team’s work.

When a fact changes and a placement no longer matches
- Correct the owning recordFix the price, pack, variant, promotion or product status at its source record.
- Find every affected surfaceLocate the posts, tags, collections and destinations that present the changed fact.
- Inspect the customer viewsCheck the relevant public placements, not just the administrative records.
- Pause if it cannot be fixed promptlyWhere the channel permits it, pause the affected promotion or shopping action while the mismatch stands.
- Record the exceptionNote the item, affected placements, customer-facing problem, owner and next check.
- Brief support staffGive them the approved current answer to use with customers.
- Correct both sides of an old claimFix the post as well as the store destination when both are affected.
Assign claim accountability
For claims in social content, identify the person who can verify the claim and retain its supporting basis. The ACCC provides general guidance on how consumer law operates, including avoiding false or misleading claims, and can require businesses to back up claims made on social media. The person approving a claim should be contactable after publication, not just during campaign preparation.
Treat a claim that cannot be verified as an operational exception. Give a named owner authority to request correction or pause the affected placement while the business checks it; record the decision and who will check the public result.
The ACCC can investigate and may take compliance or enforcement action over false or misleading social media advertising, but it does not resolve individual disputes about misleading claims. Route each matter to the appropriate internal owner without treating a customer complaint as proof that a placement has been corrected.
Coordinate the review
Use a shared review record that lets marketing, merchandising and ecommerce see the current decision for each active exception. Record the affected offer and placements, the person responsible for the next action, whether the placement remains live, and the next check.
At each review, ask whether any change has left a public claim without a verifiable basis, whether an exception still needs a pause or correction, and whether a placement is no longer current. Assign any decision to a named owner and record what must be confirmed before the exception is closed.
Set the review rhythm to match how often offers and placements change, then bring forward a check when a material change or unresolved mismatch occurs.
Check and close the work
For a representative active offer, open the public placement on a phone in the intended Australian market. Follow its action, compare the item, variant, inclusions, price and availability, and continue to order review without placing an order. Check distinct actions separately when they lead to different destinations. Record the last stage reached and any mismatch.
That walk-through covers only the route observed through the stage reached. Completed purchases require order records. Retire placements that no longer represent a current sale.
Use the review record to distinguish an open exception from a completed correction. A change is not ready to close while its responsible owner or next check is unknown; record a decision to keep the placement live, pause it or retire it.
Public-route check before closing an exception
- Choose a representative active offer
- Open the public placement on a phone in the intended Australian market
- Follow its action and compare the item, variant, inclusions, price and availability
- Continue to order review without placing an order
- Check distinct actions separately where they lead to different destinations
- Record the last stage reached, any mismatch, and whether the placement stays live, is paused or is retired
- Treat completed purchases as an order-record question, not something this walk-through can confirm
