Assigning owners to catalogue updates and product questions

A practical ownership map for product facts, social catalogue changes and customer questions, with clear handovers.

Name who approves each changing product fact, who publishes its correction and who owns a question until it is answered. The person who can edit a post may not be the person who can confirm its price, variant or availability.

Key Compliance & Best Practice Metrics for Australian Social Commerce

  • Shopify Social Commerce IntegrationFacebook and Instagram by Meta allow direct publishing of products from Shopify stores in Australia.
  • Australian Consumer Law (ACL) StandardAll public product information must be accurate, clear, and not likely to mislead consumers.

Assign decisions, not just tasks

Keep a short ownership register for facts that can change a buying decision.

Change or questionFact owner to identifyAction owner to identify
Price or pack contentsApprover of the store offerPerson updating affected listings and posts
Variant or specificationProduct information ownerPerson correcting the public description
Saleable availabilityInventory or fulfilment ownerPerson reviewing active shopping actions
Destination or channel errorEcommerce channel ownerPerson repairing and checking the public route

These are suggested responsibilities, not required job titles. One person may cover several rows.

Give each decision an alternate contact for absences. Name who can hold an inaccurate offer while its owner checks the fact.

Before changing channel availability, identify which enabled features use the item.

Route questions to the right fact owner

Identify the exact product and variant behind a question. A responder can use an approved general fact, but an uncertain answer goes to the owner of that fact.

Give the open question one case owner, a follow-up point and a record of the approved answer. A response copied from a similar variant may be wrong.

Keep individual order and payment investigations in the retailer’s established support process. The ownership register here concerns the product fact and the handover; it does not replace the customer-service procedure.

When several questions expose the same missing fact, ask the product-content owner to correct the listing after the fact is verified.

Keep a condition beside the answer it changes. If the fact cannot be confirmed, say that it is being checked rather than giving an unconditional answer.

Resolve a conflict and close the handover

When the store record, channel display and old post disagree, hold the affected claim and ask the owner of the underlying fact to approve the current offer. The channel or content owner can then correct the affected surfaces.

Record the product identifier, approved fact, placements, decision owner, action owner and next check.

The handover is complete when the corrected answer or offer can be seen at the relevant customer touchpoint, where that view is available. Assigning a task or clearing an administrative error alone is insufficient.
